Associations

During February 1996, the first batch (1993-95) of our school formed an Old Students Association named Mahatma Gandhi University School of Computer Sciences Old Students' Association (MUSOCSOSA).

The alumni association MUSOCSOSA complements the works of the students of the school and takes active participation in the functioning of the students' association, C$$A and its activities. 

The School of Computer Sciences is also registered in the alumni.net. Students who have passed out from the school can register.

Bye-Law

1. Name
The name of the association shall be Mahatma Gandhi University School of Computer Sciences Old Students Association, Kottayam, otherwise called MUSOCSOSA.

2. Location
The residence of the General Secretary of MUSOCSOSA (hereafter referred to as ‘Association’ shall be the office of the Association or in such place as the Executive Committee (hereafter referred to as ‘EC’) may decide from time to time.

3. Object
The object of the Association shall be:

a. to help the students of School of Computer Sciences, Mahatma Gandhi University, Kottayam (hereafter referred to as ‘School’ or ‘SOCS’) to find good and rewarding projects and placements,

b. to help the Director and other staff members of SOCS in organizing academic related lectures, seminars, and workshops,

c. to plan, propose, and assist to implement various schemes for the development and welfare of the School,

d. to create a spirit of fraternity among the members by providing occasions for the old students to meet together, and

e. to deal with such other matters as may be considered necessary or expedient for the welfare of the students of the School and the Association.

4. Membership

There shall be three categories of membership in the Association viz.,

· Associate Members

· Ordinary Members

· Privileged Members

a. All students of SOCS are Associate Members without voting right

b. Old students of SOCS who pay Rs. 75/- (Rupees Seventy Five only) as membership fee shall be treated as Privileged Members

c. Ordinary Members shall be those Privileged Members who do not renew their membership by paying Rs. 75/- (Rupees Seventy Five only) annually.

d. Only Privileged Members shall be qualified to contest elections to the various seats of office bearers of the Association.

5. Cessation of Privileged Membership

If the membership is not renewed annually, the privileged membership will be ceased. The membership can be revived and the rights of privileged membership restored on payment of arrears.

6. Life Membership

If any old student contributes Rs. 1000/- (Rupees one thousand only) as membership fee in a lump sum, he/she shall be treated as a Life Member of the Association. He/she shall be treated as a privileged member of the Association during his/her lifetime. 

7. Membership Fee

a. The Association will have the power to revise the amount of the membership fee/fees whenever the need is felt.

b. The membership fee/fees once remitted will not be refunded under any circumstances. 

8. Working Committee

a. The Working Committee (hereafter referred to as ‘WC’) consists of all Ordinary Members of the Association

b. WC Meeting

i. The WC meeting shall be convened at least once in a year at such time and place as the EC may decide to elect the EC for the ensuing year and for such other matters.

ii. The quorum of the meeting shall be 10 (ten).

iii. Notice of the WC meeting shall be issued to all the Ordinary Members by the General Secretary not less than 14 (fourteen) days in advance.

iv. Extra ordinary WC meeting shall be convened by the General Secretary within 7 (seven) days of the receipt of the written requisition of the effect stating the purpose of the meeting and signed by not less than 10 (ten) members of the Association.

9. Office Bearers

The activities of the Association will be managed by an EC consisting of:

a. Patron (The Professor and Director of SOCS shall be the ex-officio Patron),

b. President,

c. Vice President,

d. General Secretary,

e. Joint Secretary, and

f. Treasurer

10. Tenure

All members of the EC except the Patron shall hold the office for a term of one year from the date of assuming charge and they shall be eligible to be re-elected.

11. Executive Committee

a. The EC shall have the power to fill up interim vacancies in that body for the remaining part of the term.

b. The EC in which the general administration of the affairs and property of the Association shall arrange for

i. the proper investment of the funds of the Association,

ii. the regular audit of the accounts of the Association,

iii. the efficient conduct of the Association,

iv. the execution of all the decisions taken from time to time keeping the objectives of the Association in view, and

v. the election of office bearers for the ensuing year

c. The EC shall deal with any other matter or matters not mentioned in 11 a. or 11 b., which it feels to be dealt with.

d. EC Meeting

i. The EC shall transact all business by meeting. The quorum shall be 3 (three). The President or in his/her absence the Vice President shall preside over the meeting of the EC. In the absence of both, a member shall be chosen from the members present to preside over that meeting. In the even of a tie in the voting, draw of lots shall be applied to break the tie. Patron shall stay away from voting.

ii. The EC shall meet at least once in every year or on a requisition signed by not less than three members of the EC for any specified purpose.

iii. Any member who absents himself/herself for three consecutive meetings without adequate reason shall cease to be a member of the EC. He/she shall not be eligible for re-election during the term of that committee.

12. Patron

The Professor and Director, SOCS shall be the ex-officio patron of the Association. He/she shall be a permanent member of the EC. The Patron, if he/she desires so, shall be present for all EC and WC meetings to give his/her valuable suggestions for the welfare of the Association.

13. Functions of the Office Bearers

a. President

The President shall preside over the meeting of EC and WC. 

b. Vice President

In the absence of the President, the Vice President shall preside over the meeting of EC and WC.

c. General Secretary

i. As directed by the President, the General Secretary shall convene the meeting of the EC and the WC and shall keep minutes for the meetings.

ii. He/she shall be responsible for carrying out the resolutions of the EC and WC.

iii. All letters and notices shall normally be signed by the General Secretary.

iv. He/she shall scrutinize and endorse the bills, if any, before payments.

v. He/she shall maintain a minute book, a receipt book, the register of membership, and such other registers as the EC decides as necessary for the smooth functioning of the Association.

vi. The General Secretary shall present an annual report of the EC at the annual session of the WC meeting

vii. The General Secretary can spend up to Rs. 500/- (Rupees five hundred only) for the purpose of the Association without prior consent from the EC.

d. Joint Secretary

In the absence of the General Secretary, the Joint Secretary shall take over the functions of the General Secretary with the prior consent of the EC.

e. Treasurer

i. The treasurer shall receive all amounts payable to the Association by the members and others. He/she shall submit a statement of receipts and payments to the EC once in six months.

ii. He/she shall be responsible for all sums received and paid by him/her.

iii. The treasurer shall issue receipts for all money received and shall obtain vouchers for all money spent.

iv. The whole of the fund of the Association shall be deposited in a joint account of the President and the Treasurer of the Association, in a bank decided by the EC. The passbook shall be under the custody of the Treasurer.

14. No-Confidence motion

Any office bearer of the Association, against whom a no-confidence motion has been passed with two-third majority of the members present at a WC meeting of the Association shall cease to hold the office forthwith.

15. Resolutions

All resolutions moved at any meeting shall be decided by a majority of votes of the members present. Each member shall have one vote subject to the provisions of clause 4 b. and 4 d. In case of a tie in the voting, the President/Chairman shall have casting vote. The patron shall stay away from voting.

16. Legal Proceedings

The Association shall sue and be sued in the name of the President.

17. Amendment of Bye-Law

No amendment or modification of these rules approved on 21st of February, 1996 shall be made except at a WC meeting specially convened for the purpose and unless two-thirds of the members present vote for the amendment.
